Privacy Notice — OpenGI Science / ICSM

Short summary: we process limited contact and usage data for training, communications and service delivery. This page explains what, why, for how long and how you can exercise your rights.
  1. 1. Who we are

OpenGI Science and ICSM (based in the Netherlands) provide professional training and consultancy services. Contact: muhammad@opengiscienceresearch.nl. We are the data controller for personal data processed under this notice.

  2. 2. Data we collect

We collect only the data needed to provide and communicate about our services. Typical data categories include contact details (name, organisation, job title), postal address (for mailings), email and telephone where publicly available or provided to us, form responses, and basic website analytics (IP, pages visited).

    • Public-source contacts (LinkedIn, company websites, directories).
    • Direct submissions (contact forms, emails, bookings).
    • Technical logs and cookies for site performance and analytics.
  3. 3. Why we process your data (purposes & lawful basis)

Our common purposes are: delivering requested training/consultancy (contract); communicating about services and one-off postcards or emails (legitimate interests); and operating our website (legitimate interest / consent for cookies where required). Where you give explicit consent (eg. newsletter signup), we rely on consent.

Examples of lawful bases follow regulator guidance: contract, legitimate interest, consent, and legal obligation. (See ICO guidance for short, clear notices.)

  4. 4. Cookies & analytics

We use cookies and analytics tools to understand site usage and improve performance. You can manage or block cookies via browser settings. Where required we present a cookie consent control. Analytics data is used in aggregated or pseudonymised form when possible.

  5. 5. Who we share data with

We do not sell personal data. We may share data with trusted processors (mailing/print houses, cloud providers, analytics services) that act under contract and confidentiality obligations. We will only disclose data to authorities when required by law.

  6. 6. International transfers

Data is normally stored and processed within the EU/EEA. If data is transferred outside the EEA we will rely on an adequacy decision or implement appropriate safeguards (standard contractual clauses or other lawful transfer mechanisms).

  7. 7. Retention

We retain contact information only as long as necessary for the purpose collected. Typical retention for marketing/contact lists is up to two years since last contact unless you request earlier removal. Contractual records and legal obligations may require longer retention.

  8. 8. Your rights

You have rights to access, correct, erase, restrict processing, object to processing (including marketing), request portability, and withdraw consent where given. To exercise your rights, contact us (details below). You can also complain to the Dutch Data Protection Authority ( Autoriteit Persoonsgegevens ).

  9. 9. Security & data protection

We implement reasonable technical and organisational measures (access controls, encrypted backups, limited access) to protect personal data. However, no internet transmission is completely secure — if you suspect misuse, contact us immediately.
